Privacy Policy
This policy explains what information The Grove Season collects, why we collect it, how we use it & what choices you have. We have written it in plain language rather than legal shorthand, because a policy nobody reads protects nobody.
1. Who We Are
The Grove Season is an event venue & creative content studio located at 2820 Middle Country Road, Lake Grove, New York 11755. Throughout this policy, "we," "us" & "our" refer to The Grove Season, & "you" refers to anyone who visits our website, submits an inquiry, books our venue, attends an event held here or otherwise interacts with us.
This policy covers our website & the information we gather through it, along with information you give us directly by email, phone or in person. Our Terms & Conditions govern your use of the site & should be read alongside this policy.
2. Information We Collect
We collect only what we need to answer your inquiry, host your event or run our website. There are three ways information reaches us.
Information you give us
When you complete our inquiry form, request a tour, email us or call us, you may provide:
- Your name
- Your email address & phone number
- The type of event you are planning & your preferred date or time
- Approximate guest countAnything else you choose to tell us in the message field, such as style preferences, accessibility needs or vendor questions
- How you heard about us, if you tell us
If you go on to book the venue, we will also collect the information needed to hold the date & run the event, including billing details, your vendors' contact information & any timeline or floor plan documents you share with us.
Information collected automatically
Like most websites, ours records limited technical information when you visit. This may include your IP address, browser type, device type, the pages you viewed, how long you stayed & the site or search that referred you. This information is used in aggregate to understand how the site is performing.
Information from other sources
If you contact us through Instagram, Facebook, Pinterest or a wedding marketplace such as WeddingWire or The Knot, we receive whatever information those platforms pass along with your message. Their own privacy policies govern how they handle your data before it reaches us.
3. How We Use Your Information
We use the information described above to:
- Reply to your inquiry with availability, pricing & next steps
- Schedule & confirm venue tours
- Prepare agreements, invoices & payment records
- Plan & run your event, including coordinating with your vendors
- Answer questions before, during & after your booking
- Send you occasional updates about seasonal installations or availability, if you have asked to hear from us
- Understand how our website is used so we can improve it
- Meet our legal, tax & insurance obligations
We do not sell your personal information, & we do not share it with third parties for their own marketing purposes.
4. Cookies & Analytics
Our website uses cookies & similar technologies. A cookie is a small text file stored on your device that helps a site function or helps us understand how it is being used.
- Essential cookies - keep the site working — remembering form entries, maintaining security & enabling basic navigation.
- Analytics cookies - help us see which pages people visit, how they arrived & where they leave, so we can improve the site.
- Advertising cookies - may be used if we run paid campaigns, allowing us to measure results & show relevant ads to people who have visited our site.
You can control cookies through your browser settings, including blocking or deleting them. Doing so may affect how parts of the site function. Most browsers also support a "Do Not Track" signal; because there is still no common industry standard for responding to it, our site does not currently change its behavior in response.
5. How We Share Information
We share information only where it is necessary to serve you or where the law requires it. Specifically, with:
- Service providers - who operate parts of our business on our behalf — our website host, email provider, form handler, scheduling tool, analytics provider & payment processor. They may only use your information to provide their service to us.
- Vendors involved in your event, such as caterers, florists, photographers or bar services, where sharing a contact detail, timeline or floor plan is needed to run your booking. We share the minimum required.
- Professional advisors, including our accountant, insurer or legal counsel, where reasonably necessary.
- Authorities, if we are required to do so by law, subpoena or court order, or where we believe disclosure is necessary to protect the safety of any person.
- A successor, if the business is sold, merged or reorganized. You would be notified of any such change & of how your information would be handled.
6. Photography & Event Imagery
Photographs & video taken at our venue are a normal part of how we operate & market the space, so this section deserves its own attention.
We may photograph or record our seasonal installations, the venue itself & events held here, & we may use those images on our website, on social media, in advertising & in press or marketing materials. Where an image includes identifiable guests, we rely on the permissions set out in your booking agreement.
If you are booking with us & would prefer that images of your event not be used in our marketing, tell us in writing before your event date & we will honor that. If you attended an event here as a guest & would like an image of you removed from our website or social media, contact us using the details below & we will remove it promptly.
Photographers, brands & creators renting the venue as a studio retain the rights to their own work. Any use we make of images produced during a creative rental is agreed separately in writing.
7. How Long We Keep Information
We keep information for as long as we need it for the purpose it was collected, & then for as long as we are required to keep it.
- Inquiries that do not lead to a booking are typically kept for up to two years, in case you return to us with the same event.
- Booking & event records, including agreements & payment records, are kept for seven years to meet tax, accounting & insurance requirements.
- Marketing contacts are kept until you unsubscribe or ask us to remove you.
- Website analytics data is retained according to the settings of the analytics tools we use.
When information is no longer needed, we delete it or render it anonymous.
8. Your Choices & Rights
You can ask us to:
- Tell you what personal information we hold about you
- Correct information that is inaccurate or out of date
- Delete information we no longer have a legal or contractual reason to keep
- Stop sending you marketing messages, at any time
- Remove a photograph of you from our website or social media accounts
To make any of these requests, email us at thegroveseason@gmail.com. We will respond within a reasonable period, & we may need to verify your identity before acting on a request. There is no charge for making a request.
Every marketing email we send includes an unsubscribe link. Unsubscribing stops marketing messages but does not stop the operational messages relating to a booking you have made with us.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the General Data Protection Regulation. We honor requests of this kind regardless of where you live.
9. How We Protect Information
We use reasonable administrative, technical & physical safeguards to protect the information we hold. Our website is served over an encrypted connection, access to booking records is limited to people who need it, & we choose service providers who maintain their own security standards.
No method of transmission or storage is completely secure, & we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you & the appropriate authorities as required by New York law.
10. Children's Privacy
Our website & services are directed to adults. We do not knowingly collect personal information from children under 13. Children are of course welcome as guests at events held at our venue; this section concerns information collected through the website. If you believe a child has provided us with personal information, contact us & we will delete it.
11. Other Websites
Our site links to other websites, including our social media profiles, mapping services & the sites of vendors we recommend. We are not responsible for the content or privacy practices of those sites. We encourage you to read the privacy policy of any site you visit from ours.
12. Changes to This Policy
We may update this policy as our business, our tools or the law changes. When we do, we will revise the effective date at the top of this page. If a change materially affects how we handle your information, we will take reasonable steps to tell you directly — for example by email, if you have given us your address.
Continuing to use our website after a change takes effect means you accept the revised policy.
