Booking & Availability

Dates, holds & what happens if plans change.

How far in advance should we book?

Most celebrations book nine to eighteen months out, & peak-season Saturdays go furthest ahead. Shorter timelines are always worth asking about, we host one event at a time, so our calendar moves differently than a large hall's. If a date is open, it is genuinely open.

Do you host more than one event at a time?

No. One event at a time, always. The whole space is yours for your booking, no shared lobby, no second party through the wall, & no other guests wandering into your photographs.

How do we find out if our date is open?

Send it through the inquiry form & we will come back within one business day with availability & pricing. If you are weighing two or three possible dates, send them all, it saves a round of emails, & we will tell you which one works best in the room.

What holds a date?

A signed agreement and a 50% deposit. Until both are in, the date stays open to other inquiries. We do not hold dates informally, it is not fair to the next person asking about the same Saturday, & it would not be fair to you if someone else were doing it.

What if we need to postpone or cancel?

Deposits are non-refundable, once a date comes off the calendar we have turned away other bookings for it. The remaining balance is refundable if you cancel more than 90 days out. It you need to move rather than cancel, we will transfer your deposit to a new date within twelve months, subject to availability. We would far rather move you than lose you.

Pricing & Payment

What it costs & what that number actually covers.

What does it cost to book The Grove Season?

Rates depend on three things: the day of the week, the season, and how long you need the room. Saturdays in peak season sit at the top; Fridays, Sundays and weekdays are meaningfully less. Rather than publish a rate card that would be wrong for half of you, we send full pricing with your first reply, within one business day, before any tour, and with nothing held back until you are standing in the room.

What's included in the base rate?

The room as you see it, which is the entire point:

• The full seasonal installation

• Chandelier & ambient lighting

• Tables & cross-back seating

• Exclusive use of the venue for your booking

• Setup & breakdown by our team

• Planning support from booking through event day

Most clients spend considerably less on décor here than at a traditional hall, because the decorating is already done.

Is there a food and beverage minimum?

No, because we do not sell food or beverage. You are renting the room & bringing your own caterer. That is unusual on Long Island, where most venues quote a per-head package with a spend floor attached, & it is the reason our clients can put money where they actually want it.

When is payment due?

Fifty percent at signing holds the date. The balance is due 30 days before your event, & we are glad to split it into installments if that is easier, just say so when you book. A refundable damage deposit is collected with the balance & returned within 14 days after the event.

Are there fees that won't be in the quote?

No. Your quote covers the rental, setup & breakdown, & planning support. The only things that can be added are ones you choose: optional enhancements, additional hours beyond your access window, & event liability insurance if you do not already carry it. Sales tax appears on the invoice. That is the entire list, there is no service charge & no administrative fee waiting at the end.

The Space

Size, access, parking & what the room is doing this season.

How many guests can you accommodate?

It depends on what you are doing. A seated dinner, a standing cocktail reception, & a ceremony followed by a reception all fit different numbers in the same room. Tell us your guest count & the format you have in mind, & we will tell you honestly whether it works, including if it does not. We would rather lose a booking than cram a room.

What's the current seasonal installation?

We run four installations a year, each up for roughly three months. The one you see on a tour is the one that will be in place if your date falls in that window, & we will always tell you what is coming next so you can choose the season that suits you.

Can we see the space before booking?

Please do. Photographs undersell this room - the scale and the light are genuinely hard to capture. Book a walkthrough and you will see whichever installation is up at the time.

Is the venue accessible?

The entry is step-free and the main floor sits on a single level, so guests using wheelchairs or walkers move through the space without assistance. Restrooms are accessible. If someone in your party has particular needs, mention it in your inquiry and we will walk you through the specifics honestly rather than letting anyone find out on the day.

Is there parking?

Yes, on site. We are on Middle Country Road in Lake Grove, minutes from Smith Haven Mall, on a stretch of Route 25 every guest on Long Island already knows how to reach. Nobody is navigating unlit back roads to find you. We will confirm exact space counts and overflow options against your

guest count when you inquire.

Is there a space to get ready?

There is a private dressing suite with mirrors, seating and power, available from the moment your access window opens. For larger bridal parties we will talk timing through in advance so the suite does not become the bottleneck in your morning.

Food, Drink, & Vendors

Who you can bring, & what we handle ourselves.

Do you provide catering?

We do not, and that is deliberate. You bring the caterer you want, someone whose food you have actually tasted and chosen, rather than whoever the venue happens to have a contract with. We will share a preferred list of caterers who have worked this room, but you are never required to use them.

Can we bring our own caterer?

Yes. We ask that they are licensed & insured, carry their own liability coverage naming the venue as additionally insured, & do a walkthrough beforehand if they have not worked here. These are standard requirements. Any professional caterer will have all of it on file already.

Is there a kitchen?

There is a prep & warming kitchen with refrigeration, work surface & power enough for a caterer to finish, plate & serve. It is not a cooking line, so food should arrive largely prepared. Any caterer will want to see it before they quote, & we are happy to arrange that.

Can we serve alcohol?

Yes, served through a licensed caterer or bartending service that holds its own New York State liquor license & liability insurance. We do not hold an on-premises license, so alcohol cannot be sold directly at the venue. Worth knowing: New York limits one-day event permits to four per location per year, so going through a licensed caterer or bar service is the route that works reliably for everyone.

Do you have preferred vendors?

We do, & we share the list once you book. These are people who have worked in this room, know where the power runs & how the load-in works, & do not need a walkthrough to get started.

You are welcome to bring your own, we simply ask for proof of licensing & insurance.

Can we bring our own décor?

Yes, & most clients find they need far less than they expected. What we ask: nothing attached to the installation without checking with us first, and no confetti, glitter or loose petals indoors. None of that is precious. The installation is vibrant greenery & florals, & glitter has never once fully left a building.

Planning & Event Day

What planning support is included?

Included with every booking:

What is not included is full event planning. If you want someone managing vendors and running the day itself, we will point you toward planners we trust.

What time can we get in on the day?

Your access window opens three hours before your start time for vendor load-in & setup, with an hour afterward for breakdown. If you need more, extra hours are available at an hourly rate, tell us early & we will build it into the booking rather than sorting it out on the day.

Who sets up and breaks down?

We handle setup & breakdown of the venue itself. The installation, tables & seating are in place before you arrive & cleared after you leave. Your vendors handle their own load-in & load-out within the access window.

Can we hold a rehearsal?

Yes, subject to the calendar. We usually schedule it in the week before your date, on a weekday evening when the room is free. There is no additional charge for a one-hour rehearsal.

What happens if something goes wrong on the day?

Someone from our team is on site for the whole of your booking, not on call, on site. You will not be dialing a number & hoping. Because we are small, it is usually the same person who designed the installation & walked you through it the first time.

Creative Studio Rentals

For photographers, brands, creators & production crews.

How do hourly rentals work?

Book the room by the hour for portraits, branding sessions, content, commercials or podcast recording. There is a two-hour minimum, weekday rates run lower than weekends, and we send rates the same day you inquire. More detail on the creative rentals page.

Does the rental include the current installation?

Yes, you shoot in whatever installation is up at the time, which is the reason most people book us. Because the room is rebuilt four times a year, a creator who books each season builds a genuinely varied library without ever leaving Lake Grove.

Can we bring our own lighting and crew?

Yes. There is ample power for standard lighting kits. If you are bringing something unusual, large HMIs, a generator, or a crew beyond about ten, flag it when you book so we can plan around it. The one firm rule is not moving or repositioning installation elements without asking. Some of it is more delicate than it looks.

Do you allow commercial and product shoots?

Yes. Commercial & brand usage is quoted separately from personal or portfolio work, since the value to you is different. We do not require a location credit, though we always appreciate a tag.

Can we shoot while an event is being set up?

No. Studio rentals are scheduled around the events calendar so you have the room entirely to yourself. Weekdays offer both the widest availability & the best rates.
